You can have a database on your own end and the booking can be done on that database from your site's front-end. Or the same can be done through affiliates which needs to be obtained from the booking engines and needs to be programmed and integrated on your site which will in turn will pass the data to the booking engines, done the calculations and the booking on their ends and pass the values to your site. The whole process will run fine and only a small volume of data needs to be saved on your end. This will save you server space and headache to save huge data on your end. 7.1. Phase 1: Initial Questionnaire
To understand your business processes better it is necessary to gather information regarding the organization and the required system so that we could estimate the scope of work and also to estimate the efforts required in the development of the system.
7.2. Phase 2: Project Management
The purpose of the Project Management process is to describe the processes that should be followed by a Project Manager / Project Leader in order to plan, monitor and execute a productive and successful project. This process applies to any software project and also to any phase of the software development life cycle.
7.2.1. Project Planning
The purpose of the Software Project Planning is to establish reasonable plans for performing the software engineering tasks and for managing the software project.
7.2.2. Initial Kick-off Meeting
On confirmation of the order, the Account Manager for the project will organize a "kick-off" meeting with the client's representatives to signify the start of the project. The project manager, who will be specifically designated by us, to manage the project, will be introduced.
The Client will also designate a one-person coordinator who will interact with us on all aspects of implementation and will take all relevant decisions with regard to the implementation of the system.
The following aspects will be discussed in detail during the kick-off meeting:

7.3. Phase 3: System Requirement Study
Good requirements are essential for successfully executing projects. Improperly understood requirements or loosely controlled requirement changes lead to cost overruns, time overruns and poor quality. The main objective of System Requirement Study (SRS) process is to understand the complete requirements of the customer & end-users and provide a strong base for further software engineering activities. SRS process should focus mainly on problem domain.
System Requirement Study (SRS) process is the first and the most important process in the complete project life cycle. The purpose of this process is to describe the processes that should be followed by an SRS Team in order to plan and execute a productive and successful SRS. This process applies to any project for which the Requirement Analysis is conducted. However, there is scope to modify the process to suit the specific needs of a project.
The requirement phase will start with the collection of the requirement by interacting with the Client. Client will identify the Key users who have complete functional knowledge. The approach would be to deploy 1 or 2 Business Analyst who has domain expertise in the said field and would be interacting with the users to collect the informational flow of the business. The collection of requirement will be through questionnaire, user-interviews etc. Here the collection of information will be done also by collecting documents and reports. The collected information will be documented.

7.3.1. Requirement Collection
During this stage ISPG will study the processes of the Client to collect Information of the organization business process to help in System Business Modelling. The typical mode of collection of data from the user would be User Meetings, Interviews, Role Plays, Observation methods etc.
Client would, during this process, enter and process data representative of their business and print out the various reports available in the system.
At the end of this session, Client will understand how the application will be developed and implemented to suit his business requirements.
7.3.2. Requirement Analysis
Analysing the Requirements is an important stage wherein the requirements collected are analysed and documented to prepare a software requirement document. In this stage the System Business Modelling is done which would basically contain Context Level Diagram, DFD, Process Flow Diagram, Document Flow Diagram, and Analysis Object Model
7.4. Phase 4: System Designing/ Business Mapping
The purpose of Software Design process is to determine “How” the system requirements are to be “Implemented”.
Software Design is the process of applying various techniques and principles for transforming the customer requirements into computer-domain solution.
Design is the first step in moving from the problem domain towards the solution domain. Design is essentially the bridge between requirement specification and the final solution for satisfying the requirements.
The design process for software systems often has two levels. At the first level, the focus is on deciding which modules are needed for the system, the specifications of these modules, and how the modules should be interconnected. In the second level, the focus is on internal design of the modules, or how the specifications of the module can be satisfied.
The requirements will be converted into software design to help in development phase. Moreover the third party tool will also be configured and designed to suit the business needs of the application being developed.

• Design / Program Specifications.
The system as defined by the user during the System Requirement Study will be analyzed and designed during this stage. The requirement identified during the phase would be broken into modules and screens to help in achieving a modular and integrated flow in the system.
7.4.1. Functional Specification
Here screen proto-types as per the GUI standards & coding standards are prepared. Then a Functional Specifications (F.S.) is prepared, if required. This document should include the screen prototypes, the business rules and any other additional information as desired. The F.S. is peer reviewed before submitting it to the client for feedback. The F.S. requires approval and sign-off from Client.
7.4.2. Design Specification
Deciding the design criteria considering the application’s requirements and document the same in Design Specifications (D.S.). Here a pseudo-code/algorithm for the application logic is developed.
7.5. Phase 5: Application Development/ System Build
Application Development process consists of both coding and self-testing. The developers generally carry this out and they are formally handed over the details of the units to be coded and the schedule. Careful consideration should be given to the development tools & platforms and the skills that are available within the organization before taking up the coding process.
Coding is initiated after the software design is reviewed and finalized. It involves developing code units based on a plan that accounts for factors such as criticality, difficulty, integration, test issues and needs of the customer and end users, as appropriate.
The modules will be developed which needs to be built up from the core and will be integrated with the third party tools.
7.5.1. Coding
Code is developed as per design specifications and using effective programming methods. For effective programming methods the developer has to refer Coding Standards. Code Optimization is a major factor contributing to overall system performance.
7.5.2. Testing
The code unit undergoes review. This may vary from simple internal review to complex peer review. The code unit is Self Tested before the unit is considered complete and ready for testing by the Test Group. Errors detected while Peer Review and/or Self Testing are tracked to closure.
7.6. Phase 6: Testing
Testing involves operation of a system or application under controlled conditions and evaluating the results. The controlled conditions should include both normal and abnormal conditions. Testing should intentionally attempt to make things go wrong to determine if things happen when they shouldn't or things don't happen when they should. It is oriented to 'detection'.

The purpose of testing is to describe the processes that should be followed by the Software Development team and the Test group in order to provide Test Planning and Management guidance. Project Manager/Project Leader should be familiar with the various techniques employed in testing. Application of testing techniques and the degree of testing varies from project to project. 7.7. Phase 7: Implementation
Implementation process involves release of software work products from the baseline library, planning & scheduling the implementation, interacting with the client and end-users, ensuring the availability of system at the client place, user training, User Acceptance Testing (UAT) and sign-off.
After proper implementation scheduling the site will be prepared. The whole application will be set-up on the client site/ web server and user-acceptance test will be conducted. The UAT will be done with the key users identified for each module.

Implementation is initiated after the source code is tested and finalized. It involves implementing the software based on a plan that accounts for factors such as user acceptance, needs of the customer and end users, as appropriate.
7.8. Phase 8: User Training & Acceptance Testing
7.8.1. User Training
ISPG shall provide detailed training on the usage of their applications. The users to be trained will be representative of the business processes specific to the client’s implementation.
7.9. Acceptance Testing
The user will test the system and validate that the functionality of the business process is covered in the system.
7.10. Phase 9: Live Operation
The users would enter live data, from a cut-over date pre-decided by the organization, and process them for one monthly cycle. The reports for the same will be reviewed and accepted by the user. ISPG shall also provide assistance during the first annual processing cycle, if required.

8. Project Execution Methodology
• The project milestones sheet will be prepared, which will involve the steps of progress of the development activity. On completion of each stage, indication of the same will be given to the Client on the progress done and feedback will be taken on the development done.
• Any Changes required during or after the project duration will be intimated to ISPG in change request form, which will be provided by ISPG. We would be doing the impact analysis of the same and intimate the effort and duration required if the changes are of extreme nature or if they fall out of the project scope. ISPG however would be committed to complete the development as per the scope of the work defined.
• The project will progress in a phased manner, which is explained below:
o System Requirement Study and Documentation: This would involve defining the complete functionalities of the Application.
o Database Design and System Architecture design.
o Coding – It will be done on the basis of module as mentioned in the project milestone sheet.
o Testing and Hosting of the Application (on clients infrastructure).
9. Role of the Client
• The client will appoint one Project Coordinator who shall be one-point contact for ISPG for all matters pertaining to the Application development. He shall be the responsible for approval.
• The approval/feedback should take place within 2-3 days from the day ISPG presents any material for approval/feedback. Any delay in the approval will result in delay in delivery of the project.
• The client will have to procure all necessary software/hardware for the support of the application developed. This would include Database Server/Registering of components/Hosting etc.
• The client will provide the any necessary text, content, links etc in softcopy format via electronic media that they intend to keep on the Application before the Development of the Content. All the contents / reference materials provided should be in English.
10. Role of ISPG
• ISPG shall be responsible for testing of the functionality of entire application until it matches the Client requirements, which have been agreed upon by both the parties.
• ISPG shall deploy (upload) the application at the server provided by the Client after the initial development is carried out at ISPG Development Centre.
• ISPG would identify a Project Manager who would liaise with the Point of Contact from client for all requirements and clarifications.
11. Requirement from the Client.
o Compatibility for the technology used for the development. This would include:
o PHP Support.
o MY SQL Support.
o The effort and cost estimated is only for the development. Any third party component (document uploading component) and server/ hardware required will be provided by the client/ISP.)
12. Document and Knowledge Transfer
• All communication/ documents/ Knowledge transfer will be done with either party in English.
• Any transfer of the documentation from either side will be done in MS word or MS excel sheets in soft copy formats via electronic media. Document standards will be made available.
• For communication the project managers will use e-mails, MSN Messenger and ICQ chat modules (This should preferably be done every alternate day).
• Complete Contact information of the project managers from either side will be made available upon the start of the project.
13. Deliverables
1. Fully functional and tested Application
• Features as mentioned under scope of work.
• Interim Delivery: The deliverables of interim delivery to be agreed by both client and ISPG from the scope of work for the project.
2. All source files will be provided to the client as deliverable.
3. Documents: Admin Manual – If Applicable The documents will be delivered to the client in only in English Language
14. Testing Schedule
• It will be ensured by the client that the acceptance testing of each deliverables and the report of any bugs to ISPG is done within 7 of the delivery to ensure the timely bug fixing.
15. Assumptions
1. Client will have to provide the content and details to be kept within the Portals.
2. Please note that the scope does not involve content development for the Portals in any of the languages. Client will provide all the content in English and Application will also be developed in English only.
16. Important Note
• The estimation is based on the current understanding of the requirement of the site.
• Multimedia designing for the Application - ISPG will give 2 samples of application layouts along with the document explaining the navigational flow. The client will provide feedback and there onwards the design will take shape.
• The effort and cost estimated is only for the development. Any third party component (document uploading component) and server/ hardware required will be provided by the client/ISP.)
17. Support
• After deployment, should there be any bugs in the software; ISPG will fix these bugs free of charge for the next three months. The terms for the bug fixing during this period would include the following:
o ISPG would be committed to complete the development as per the scope of the work defined and will rectify any bugs that occur in the Application. A bug would be defined as those which conflict with the work done by the team as per the scope communicated by the client during the contract period of the project and undertaken by ISPG for development. In case of conflict the client will have to produce documentary evidence of the scope along with the communication of the same to the development team at ISPG done during the period of the contract. All such points reported in the support period without any documentary evidence would be deemed as Change Request.
o ISPG will not be responsible for any changes done on part of the client to the system (source code or database), which may be the cause of the error after the site has been deployed.
o Free Bug Rectification will not involve any change request to the business logic/ functionality asked by the client.
18. Change Management
Any Changes required during or after the project duration will be intimated to ISPG in change request form, which will be provided by ISPG. We would be doing the impact analysis of the same and intimate the effort and duration required if the changes are of extreme nature or if they fall out of the project scope or Bug Fixes warranted by ISPG. The rates provided by ISPG for the change request are valid for a period of 12 months from the commencement of the project or signing of this proposal whichever occurs first.
A change would be defined as those, which are not defined in the scope of work either in terms of addition, deletion and/or change in Functionality (Business Logic), User Interface, the database and/or any other such aspect of the system. ISPG will charge the work to be done on an hourly basis as defined and agreed by both parties. The charges for Change Requests would be 15USD/Hour.
19. Delivery & Price
• The complete project can be delivered within 3 Months (elapsed time) from start with all functionalities. This is based on the current feature listing scope.
• Exact time frame for delivery can be discussed depending on the user requirements based on functionality selection.

3 Support(Bug Fixing) After deployment, should there be any bugs in the software; ISPG will fix these bugs free of charge for the next three (3) months. The terms and conditions are mentioned in Section 18 Free
4 Support(Bug Fixing) After the initial 3 months period the bug fixing support will be provided at an additional cost. This support will be for a period of 9 months after the end of the free support period unless another maintenance contract is agreed upon between the client and ISPG. 15 / Hour
